Storage and file management
A repository is a collection of knowledge base files. It can be connected to several bots. One bot can also connect several storage facilities, for example, separate databases with goods, delivery rules and internal instructions.
Connecting storage to the bot
- Open My Bots and press Change opposite the desired bot.
- On the Basic tab, find the Bot database field.
- Choose one or more storage facilities.
- Press Save changes.
If the storage is not available, click Manage.
Design and description of the repository
When creating:
- Name is the short name by which the storage can be found in the list.
- Description of storage - what it is used for and what types of information are in it.
Example of description:
Catalog of goods: characteristics, prices, availability, delivery conditions and guarantees.
A clear description helps to distinguish storage facilities from each other and makes it easier to assign them to bots.
Adding files
Press Add the file and select the method.
Download the file
Use this option for the finished document on your computer.
- Select the file.
- Check its name and size.
- Fill in the File Assignment field.
- Save the file.
In the assignment, describe what the document contains and what information the bot should receive from it. From this description, ChatRex determines which file fits the user’s query.
Example:
Delivery conditions: regions, terms, cost, free delivery and self-delivery rules.
The maximum size of one downloaded file is 10 MB.
Create a file
This option is suitable for information that is more convenient to enter and regularly change directly in ChatRex.
- Specify File name.
- Enter the text in the Content field.
- Save the file.
A text file will be created in the storage. Its content can be edited without re-downloading from the computer.
Managing the file list
Files are displayed page by page - five elements per page. To navigate between pages, use the switch under the table.
In the file bar, viewing or changing parameters and deleting operations are available. Before deleting, make sure that the information is not used by bots connected to this repository.
Recommendations
- Separate different topics into separate files.
- Do not use the same general description for all files.
- After changing the file, retest questions related to its content.
- Do not duplicate contradictory information in different storages of the same bot.
File deletion affects all bots using this storage.
